Site tracking in occupied buildings, from the schedule to the signed document
The dwelling schedule, visit notices, condition reports, snags, inventory and keys in one place. What you paint on the schedule comes out as a PDF, in your company name.
Included from the Pro plan, within the account free trial window.
A site rarely fits in a single tool
The schedule lives in a spreadsheet
One row per dwelling, one column per day, and three versions of the file going around.
Letters get retyped
The same visit notice rewritten dwelling by dwelling, with the previous site name left inside.
Findings get lost
A snag noted in a pad during the visit, found again three weeks later, with no photo and no date.
The module holds all three on the same data: the schedule feeds the documents, the documents feed the history.
The whole site, tab by tab
Tabs follow the nature of the site. A single-dwelling renovation works by rooms and tasks; a refurbishment in an occupied building also opens the dwelling stock, the daily schedule and the tenant notices.
Condition report
Room-by-room visit, surfaces, photos, works programme, signature, PDF.
Dwellings
The stock: building, stairwell, floor, occupant. It builds up as condition reports come in.
Schedule
A dwellings-by-days grid, painted with a brush. Several schedules, several trades per cell.
Notices
Visit notices, sign-offs, refusals, waivers, summaries, by date or by dwelling, in batches.
History
The site log: works accepted or refused, comments, condition report findings.
Overview matrix
The dwellings-by-trades matrix, derived from the schedule and editable cell by cell.
Keys
A loan and return register, with the count of keys still out shown as a badge.
Progress
The dashboard: the cards you compose, in reading mode for the site meeting.
Scaffolding
Bays and lifts on the calibrated background plan, erection progress, material quantities.
Inventory
Ordered, delivered, installed. Supplier, unit price, delivery dates, alert on late items.
Snags
Numbered, placed on the plan, four severity levels, with the responsible company and the clearing date.
Contracts
Word generation of the contract pack: subcontracting, services, supply. Available on request.
The schedule is painted, not filled in
A dwellings-by-days grid, one brush per trade, and drag to cover a whole week. This is the screen a site manager spends the day on.
- Drag to paint, drag to erase, with no dialog box.
- Several trades in the same cell, when two crews come the same day.
- Several schedules on the same site, to keep the plan next to the actual.
- Row order can be sorted or moved by hand, and it is kept.
- Filters by building, stairwell, floor or trade.
- Check mode: work is signed off dwelling by dwelling, with a comment, and goes into the history.
Documents come out of the schedule, not out of a Word template
Six families of documents, generated by date or by dwelling, one at a time or in batches. All carry the same header, entered once in the site settings.
Visit notice
The letter left with the tenant before the works, with date, trade and time slot.
Sign-off
Work done and accepted, signed by the tenant.
Refusal
The tenant refuses the works. The refusal is dated and tracked, it does not vanish from the file.
Waiver
Responsibility set down in writing when the dwelling is not accessible or not prepared.
Summary
Everything done in the dwelling, on one page, to hand over at the end of the works.
Condition report summary
The visit written up: surface conditions, works programme, tenant choices.
Company, client, two logos, phone, site office, operation title, place of signature and standard hours: the identity is entered once and heads every document. No default names anyone, so a site never sends letters in someone else's name.
Site report
A dated summary PDF: progress, tasks, inventory, snags, budget.
The condition report, as it will be read back
The form follows the visit, the PDF carries everything that was entered. The operation file can be read without reopening the app.
A dashboard you compose yourself
A card takes three clicks: a shape, a measure, a breakdown. Combinations that mean nothing are not offered.
Shape
Number, pie, bars, stacked bars, line.
Measure
Progress, signed-off works, interventions, refusals, dwellings, condition reports, keys.
Breakdown
By trade, building, stairwell, floor, status or week.
The layout is saved with the site, so it is shared. A reading mode shows the cards alone, for the site meeting.
The client follows the operation, without seeing the tenant
The client area is a separate access for the client side. What it does not show is not hidden on screen, it is not sent at all.
What they see
- The progress of the operation, dwelling by dwelling
- The condition reports, in a version prepared for them
- The decisions that are theirs to make, taken by them
What they never receive
- The tenant profile and contact details
- The household composition and the key register
- Signatures and the internal detail of the site
The sites of the operation are attached to them automatically, with no group code or password to pass around.
What matters when you are on site
Continuous saving
The site saves itself, and the header says at any moment whether everything went through.
When the network drops
Work continues locally and joins the server afterwards. Both sources are merged when reading.
As a team
The site is shared with read or edit rights, everyone on the same schedule.
Background plan
Import the plan as PDF, image, DXF or DWG, and set the scale to place snags and scaffolds.
Nothing is locked in
The site exports and re-imports as JSON, documents come out as PDF and contracts as Word.
Languages and units
Seven languages in the app, and a choice between metric and imperial units.
Three moves to get started
Create the site
Single-dwelling renovation or refurbishment of an occupied stock: the module opens the matching tabs.
Set its identity
Company, client, logos, site office. It is the header of every document, and it is done once.
Enter the dwellings
By hand, or through the condition reports that build the stock visit after visit. The schedule is then ready.
A guided tutorial is built into each screen, and the schedule has its own, in ten steps.
Open a site now
The module is included from the Pro plan, along with the rest of FloorScan: plan analysis, takeoff and facade.
Frequently asked questions
Does it work for a single-dwelling renovation?+
Yes. A renovation site works by rooms and tasks, with task templates per room type, plus inventory, snags, scaffolding and the site report. The dwelling stock, the daily schedule and the tenant notices only appear on a refurbishment in an occupied building, where they make sense.
How many dwellings can one site hold?+
The schedule is built for a whole stock, not a handful of rows: dwellings filter by building, stairwell and floor, row order is set by hand, and documents generate in batches. Photos do not weigh on the site: each one is a separate file and the site only carries its address, so a heavily photographed condition report does not slow the other screens down.
Do the visit notices come out in my name?+
Yes, and in the client's name too. You enter the company, the client, the two logos, the phone, the site office and the standard hours once, and every document inherits them. Nothing is pre-filled with another company's name, and with no logo the header writes the name rather than an empty band.
What happens if I lose the network on site?+
Work continues. The site is held locally as well as on the server, and both sources are merged when reading: what was entered offline joins the server when the connection is back, without overwriting what others did in the meantime.
Can the client follow the site without seeing the tenants?+
Yes. The client area is a separate account type: it receives progress and condition reports in a version prepared for it, from which the tenant profile, contact details, household composition, keys and signatures are absent. That data is not hidden on screen, it is not sent to them.
Can I get my data back?+
The whole site exports as JSON and re-imports as is, documents come out as PDF and contracts as Word. Nothing forces you to stay.
Do I need to install an app?+
No, everything happens in the browser, on desktop as well as tablet. The background plan imports as PDF, image, DXF or DWG, and the rest of FloorScan is in the same account.
Is the module part of the subscription?+
Site tracking is included from the Pro plan, at no extra cost and with no separate subscription. The pricing page shows the price that applies to your region.
